Position Overview

We are looking for a highly motivited professional to serve as office manager with Five Q. The Office Manager provides efficient and quality office administration, bookkeeping and documentation to support Five Q’s Executive Team.

Duties and Responsibilities

Responsibilities will include but not limited to:

  • Working from the company headquarters in Atlantic, Iowa is required.
  • Finance and bookkeeping in QuickBooks Online. Includes receiving client payments, preparing deposits, processing regular bills and vendor invoices, reconciling bank and credit card statements, expense tracking and reimbursement, preparing financial reports.
  • Basic human resources functions: on-boarding/exiting employee tasks; salary adjustments; employment forms and file maintenance; equipment purchase, reimbursement, and tracking; payroll; and monthly, quarterly, and annual federal and state employer taxes and filings.
  • Maintain office files: forms/receipts/records, etc. in compliance with state and federal regulations.
  • Provide travel arrangements for all team travel.
  • Prepare payroll and tax forms associated with payroll through our payroll service. This includes monthly federal tax deposits, quarterly tax forms, corporate taxes and yearly federal and state tax forms. May consult payroll accountant and payroll service as needed.
  • Prepare filings for tax withholding purposes and recognition of doing business in the state in which each new employee resides. May consult payroll accountant and payroll service as needed.
  • Help systemize and document various aspects of the business.
  • Data entry into our project management software to help manage various projects.
  • Answer support phone calls, as needed.
  • Assist with administrative tasks for the Executive Team and others, as needed.
  • Purchase office supplies as needed.
  • Possibly contribute to the work in progress on new websites by moving content from old sites or adding new content. Some knowledge of html code is helpful, but not required.

Qualifications

Skills Required

  • Must be an excellent communicator, both written and verbal.
  • Must be detail oriented and able to follow through and carry tasks to completion.
  • Must have ability to type 50+ words per minute
  • Demonstrated proficiency  with Google Docs, Spreadsheets and other standard computer and cloud-based office tools.
  • Demonstrated proficiency in accounting software (preferably QuickBooks Online), with working knowledge of accounting and bookkeeping procedures and best practices. 
  • Proficient with Internet searching and general Web browsing.
  • Comfort-level using digital communication platforms (e.g. Zoom, Slack, Teamwork) to interact with team meetings, including peers and supervisors.
  • Enjoy and be proficient at organizing and managing many details and priorities.
